Reporting to the Director of Alumni Relations, the Young Alumni Coordinator is responsible for keeping alumni who are 10 years out of Flint Hill School engaged through young alumni programming and social media. In addition, the Young Alumni Coordinator will provide administrative functions for the overall Alumni Relations program.
Young Alumni Program - Manage and support a program to actively engage young alumni in the life of the School and educate them regarding potential roles within the FHS alumni community.
Coordinate senior class program including
Alumni-Senior Program - orientation sessions
100 Days to Graduation Celebration
Assist with Senior class time capsules and Headmasters Senior Dinner
Oversee the Young Alumni programs and events including
College Care Packages
Turkey Bowl, Open Gyms, Turkey Bowl Happy Hour
Plan and execute the College Dinner Program to include scheduling dinners and outreach to college age alumni to attend dinners.
Oversee the 5 and 10 year classes for Reunion Weekend - Recruit and manage Reunion Chairs for these classes including assisting with class dinner arrangements and class flyer information. Work with Reunion Chairs to increase on campus attendance for Reunion Weekend.
Alumni Social Media Community - Oversee and manage the content for Alumni Social Media and webpages continue to develop strategies for implementation and maintenance of an integrated, appealing, and useful presence for the alumni communities. Assist the Director of Alumni Relations with the creation of new media activity.
Assist in marketing the Alumni App and alumni webpages to alumni and promote use of its various features including class notes, online directory, personal profiles. In coordination with the Office of Communications solicit, edit and publish class notes.
Maintain a dynamic web presence by posting alumni and friends news on the web; solicit and upload regular changes so as to keep the site timely, create and maintain web pages for special FHS alumni events such as Reunions, assist in maintaining the Flint Hill School Alumni Facebook page, Mobile App, LinkedIn, and Twitter.
Alumni Data Management – Responsible for maintaining data in Raiser’s Edge and Whipple Hill including but not limited to:
Alumni updates from returned mail, EverTrue Platform, online form, and other collection methods - biographical information (address, phone number, email), business and education information.
Whipple Hill pipeline for Alumni into Raiser’s Edge
Alumni events: support data entry into RE as designated by the Director of Alumni Relations
Apply changes from NCOA for alumni-only mailings into Raiser’s Edge and Whipple Hill
Oversee and manage the collection and entry of alumni affinity group information into Raiser’s Edge. Maintain affinity group and award information in the database on an ongoing basis.
Pulling queries and reports for class lists, event lists, etc.
Provide support for Director of Alumni Relations
Assist the Director of Alumni Relations in cultivating and developing strong regional alumni clubs through strategic planning, identification and recruitment of volunteers, and travel.
Help with design, writing, printing, collating, and processing mailings.
Provide word processing assistance, including proofing and mail merges. Help support administration of Alumni Board.
Assist with or manage aspects of Reunions, regional FHS gatherings, Homecoming and other alumni events.
Manage check requisition requests for alumni event vendors. Provide support for all events including RSVP tracking, collating packets and preparing name tags.
Help support volunteers with phone calls and mailings.
Receive alumni visiting campus.
Along with the entire Development Office, work at events, program and other stewardship events coordinated by the Development Office.
Perform other responsibilities as needed and assigned.
Candidates must have a Bachelor’s Degree
2-4 years of experience in Alumni Relations or a related field preferred
Ability and willingness to travel
Excellent personal presentation and writing skills
Experience managing organizational social media platforms
Strong organizational skills and attention to detail
Familiarity working with relational databases
Comfortable working in fast-paced, multi-tasked environment
Proficiency with software including Microsoft Office, Excel, Outlook and PowerPoint
Knowledge of fundraising software desirable
Sensitivity to and ability to maintain confidential information
