Landon School, an independent day school for boys (grades 3–12) in Bethesda, Maryland, seeks a Middle School Office Assistant to manage the divisional office. Applicants should hold a bachelor’s degree and have at least three years of experience in a similar role.
The ideal candidate will have excellent organizational, interpersonal, and computer skills as well as the unique ability to work with frequent interruptions. S/he will be friendly, welcoming, infinitely patient, detail-oriented, an adept communicator (written and oral), able to prioritize various tasks and work independently, possess a professional work-ethic, and thrive in a fast-paced, collaborative environment. As the voice of the division, the successful applicant is expected to interact warmly with various constituencies, maintain confidential information, and make an outstanding impression at all times. This full-time, twelve-month position, which occasionally requires evening hours, begins in June and reports directly to the Head of the Middle School.
Maintaining students’ attendance records.
Oversee sign-in system and record attendance in Middle School database.
Preparing and sending a daily list of announcements to faculty
Maintaining calendar and assisting with scheduling of appointments for Middle School Head.
Providing Middle School office administrative support: telephone coverage, mail handling, ordering of supplies, event requests, and necessary communications internally and externally amongst students, parents, and faculty
Preserving confidentiality of information shared by all constituencies
Exhibiting unique ability to work with frequent interruptions
Maintaining a patient, understanding, and constructive approach to all constituencies
Administering minor first aid and offer generous amounts of TLC to boys and faculty.
Assisting with coordination of coverage for faculty who are absent
Assisting Middle School personnel with maintenance and upkeep issues, which include copiers, classroom and restroom repairs, and assistance with use of the fax machine. Order copier supplies and manage service.
Coordinating, editing, and preparing weekly announcements for the Middle School section of the Inside Landon newsletter.
Editing numerous communications, including grade reports each trimester and various letters throughout the year.
Editing, communicating, and filing student interim reports throughout the year.
Planning/hosting parent-focused events,
Communicating through Blackbaud On Suite or Whipple Hill software for various Middle School office needs, such as welcome back materials, orientation programs, course registration, trimester grades, grade-level outdoor education trips, ERB testing results, Running Start, course lists, attendance, etc.
Keeping informed of all MS activities and decisions; advising MS Head on the timely dissemination of information to faculty, parents and boys.
Creating and coordinating schedules and communicating about Middle School exams, course registration process, ERB testing, Class Day, and closing of school efforts.
Preparing transcripts, awards, and certificates throughout the year.
Maintaining records for Honor Rolls.
Organizing and communicating monthly charges, check requests, and invoices to the Business Office.
Maintaining student files – both paper copy and Education Edge – including filing grades, ERB test results, interim reports, letters, etc.
Updating students’ records in Middle School database with advisor and locker assignments.
Creating student locker assignments.
Setting up faculty mailboxes and maintaining Bear Team banners.
Creating and maintaining binders of student and faculty schedules for easy access.
Preparing, reviewing, and communicating all back-to-school materials.
