Set up new employees in payroll & accounting system.
Process time sheets for part-time and casual employees.
Make any necessary adjustments to salaried employees.
Make payroll entries into accounting system, send automatic deposit payroll to bank, cut checks for those employees who do not have automatic deposit.
Distribute W-2’s to employees.
Track leave balances for staff and faculty.
Maintain and assist employees with benefits such as health insurance, retirement, dependent care and medical reimbursements.
Family Accounts Management:
Liaison with FACTS Tuition Management, which handles the monthly installment plan.
Consult with parents regarding tuition and incidental charges, FACTS Tuition Management enrollment process, and any other questions that they may have.
Enter FACTS payments into the billing system.
Make collection phone calls and establish payment plans with families who require special consideration with collaboration from the Director of Finance and Operations.
Process all payments and reconcile all checks and cash submitted to the business office from parents and school wide events. Enter payments, prepare deposits, and generate reports for the Director of Finance and Operations as needed. Process payments from, but not limited to tuition, development, afterschool programs, day camp (non-credit card), COBRA receipts, facilities rentals and house rental and school events.
General Accounting Functions:
Assist DFO in preparing annual tax forms such form 990, 5500 and Virginia State forms.
Record revenues and recurring journal entries; assist in the month end and year-end closing processes; annual audits, ensuring transactions are in accordance with GAAP and internal policies and procedures are followed.
Assist in reconciling operating accounts, investment accounts and journal entries.
Perform ad hoc journal entries and other related duties as needed.
Collaborate with business office team to ensure accuracy of accounting system.
The successful candidate will need to be effective and experienced in the general payroll processing and overall accounts management and accounts receivable processing function. The candidate will need to possess strong problem solving skills, work ethic, organizational skills, and attention to detail, decision-making skills, and ability to work with others. This position also requires general accounting responsibilities, including journal entries, account reconciliations and accruals. This is a full-time position. Hours are Monday – Friday from 8:00 a.m. until 4:30 p.m. including a 30 minute lunch. Vacation days are coordinated with other members of the Business Office.

Bachelor’s degree or equivalent
Should have 5 to 7 years experience in related field, preferably in an independent school environment
Strong interpersonal skills - exceptional oral and written communication skills
Proficient knowledge of Microsoft Office Suite, experience with payroll management software and the ability to adapt to new software
Additional Salary Information: Salary commensurate with experience.
Employer will contribute $7,600 each plan year to each full-time employee’s benefits bank and prorate for employees who work at a minimum 75% of full-time, via our Section 125 Cafeteria Plan. This benefit may be taken as payment toward the school’s medical/dental/vision plans; dependent care expenses, subject to an IRS imposed limits, or may be taken as after tax cash to be added to monthly salary.
Retirement plan with TIAA, with a 3% employer contribution for two years and then 6% employer contribution after two years, irrespective of employee contribution.
A tuition benefit (50% discount) is offered for one qualified child attending school for children of 75% to full-time employees only. (Fac-staff children are eligible for additional financial aid also.)
