The Madeira School is one of the country's premier boarding/day college prep high schools for girls with over a century of launching women who change the world. Located just outside of Washington, DC, on the banks of the Potomac River, in McLean, VA, Madeira enrolls 325 students in grades 9-12.
Under the general direction of the Director of Enrollment Management, the Admissions Coordinator facilitates a variety of activities pertaining to the admissions process, campus visits and general office administrative work.
Serve as the primary contact and expert for our online scheduling software program. Make assignments, finalize appointment details, and send confirmations to families and ensuring proper follow-up communication and data entry.
Prepare data, create charts and report for Director and others
Process inquiries and applications from multiple sources, ensuring that they are entered in Senior Systems database promptly and accurately; create queries and run reports as requested.
Assist with answering incoming phone calls and emails, answering questions promptly, professionally and accurately. Ensure that outstanding customer service is provided with each interaction.
Process daily mail and special mailings; electronically load applications into the system (Gateway & TABS).
Maintain an inventory of office supplies
Continually update prospective families re: status of application.
Serve as the main greeter for families that arrive to interview, offering a welcoming and friendly first impression to Madeira; ensure each family's visit runs smoothly and adjust schedule as needed.
Communicate with faculty, staff and student guides about upcoming events and campus visits.
Help with all Admissions programs, including accepted student events, Open Houses and other programs.
Recruit, train and oversee Student Tour Guides.
Oversee summer student intern.
Ability to travel locally to represent Madeira at fairs and other recruitment events.
Ability to work some evenings and weekends throughout the year.
0-3 years of work experience, preferably in independent, boarding and/or single sex education; or relevant corporate experience.
Strong interpersonal, communication, customer service, analytical, and organizational skills.
Ability to work independently and as part of a high-performing team with exceptional initiative and judgment
Accuracy, attention to detail and ability to follow through.
Proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint); willingness and ability to learn additional applications as needed; knowledge of website editing.
Willingness & ability to work flexible schedule, including occasional evenings & select weekends.
Appreciation of and commitment to boarding and/or single sex education, diversity and to serving the needs of a diverse population.
