FCS seeks a full-time Administrative Assistant to work in the front office supporting two departments: Lower School and Middle School. Primary duties include reception, database management, maintaining calendars and records, and effective and cordial communication in all procedures.
Essential Job Functions for Lower and Middle School
Handle front entry flow of students and guests into the building
Maintain daily attendance records
Oversee student arrivals, early departures, and late pick-up
Create and maintain class lists and schedules
Create phone information cards for teachers and staff
Maintain the calendars for the Lower and Middle School Heads
Create and maintain a list of substitute teachers arranging for substitutes as required
Schedule interviews and verify clearances for prospective teachers and substitutes in coordination with the Division Heads and Head of School
Coordinate and manage parent volunteers for the academic program
Serve as an RSVP person for school events; compile and communicate responses
During the summer, manage the mail and bulk purchasing of supplies
Tidy and keep organized the faculty workroom, kitchen, and front office
Pick up and set up food for Lower and Middle School hosted events
Arrange domestic travel plans to include meeting registration, hotel, transportation needs and ensure Lower and/or Middle School Heads have appropriate travel itineraries and/or documentation
Arrange travel, hotel accommodations, and transportation for visitors/presenters for Lower and/or Middle School events
Troubleshoot office administration problems and assist on special projects as assigned
Support the school in maintaining a work environment that fosters learning, respect, open communication, collaboration, integration, and teamwork
Additional duties as assigned by the Lower and Middle School Heads
Qualifications and Experience
4-year college degree
A minimum of three years of demonstrated professional administrative experience
Ability to maintain effectiveness in a busy office setting and willingness to work independently and collaboratively within a team environment
Excellent communication skills (both written and verbal), mathematical skills, and discretion in working with confidential information
Extraordinary attention to detail, accuracy, and organizational skills
Ability to manage several projects at once and consistently meet deadlines
Proficiency in Microsoft Office, Google Suite, and Blackbaud is a plus
