The Accounts Payable Specialist is responsible for managing the company's outgoing financial obligations This role involves invoice processing, reconciling statements, maintaining accurate records and ensuring timely payments to vendors. This is a full-time, non-exempt position and member of the business office staff who reports directly to the Controller.
Primary Responsibilities
- Input invoices into Blackbaud expense management and route to the appropriate level for approval and coding
- Primary point of contact for internal departments and external vendors regarding invoice status and inquiries
- Issue vendor Payments twice a week and as needed
- Reconcile monthly credit card statements with various departments and prepare journal entry for allocation to proper accounts
- Reconcile aging reports on a monthly basis
- Keep track of all vendor file and invoice data electronically
- Coordinate all supply purchasing including stationery and office supplies
- Maintain fixed asset records for permanent files
- Prepare and input monthly journal entries to charge departments for various expenses
- Collaborate closely with other members of the business office to support departmental goals and deadlines
Qualifications
- Associates Degree or higher
- Minimum 2 years experience in accounts payable or similar role
- Strong attention to detail and accuracy in data entry
- Effective verbal and communication skills
- Strong organizational and time management skills
- Ability to manage multiple tasks in a fast paced environment
- Analytical thinking and problem solving skills
- Proficiency in financial software and spreadsheets
