About the School: The Lab School of Washington works with students entering grades 1–12 who have been diagnosed with a language-based learning difference such as dyslexia, or a specific learning difference in reading, math, or writing. Many of our students also benefit from our focused work on executive functioning skills. Some of our students may have a secondary diagnosis of ADHD. A Lab education focuses on students; strengths, interests, and passions and provides an experiential and multi-sensory approach to learning. The majority of Lab's graduating seniors move directly to college.

About the Position The Lab School of Washington is seeking a skilled, organized, empathetic, and detail-oriented Administrative & Operations Manager to support our dynamic TRG Team. The Reservoir Group consists of occupational therapists, psychologists, social workers, and speech-language pathologists who provide clinical services to Lab students and students from other schools in the greater DC area. In this role, you will support daily operations, ensuring that our therapists and clinicians can focus on delivering exceptional client services.
Division: The Reservoir Group at The Lab School of Washington Location: 4759 Reservoir Road, NW, Washington, DC Type of Opportunity: Immediate Opening on a Full-time, 12-month, in-person basis; Work hours will consist of an eight-hour workday scheduled between 8:00 a.m. and 6:00 p.m., with specific start and end times determined by departmental, programmatic, and operational needs Compensation Range: Annual salary range: $70,000 - $80,000 commensurate with experience
Primary Duties and Responsibilities:
Serve as the primary point of contact for clients, families, and internal faculty and staff
Maintain caseload, enrollment, and service tracking systems
Coordinate client intake, scheduling, contracts, and onboarding
Maintain departmental databases, FileMaker, MyLab, Team Drives, CampBrain, calendars, trackers, and operational resources
Generate reports, treatment summaries, and any other required documentation for insurance and billing
Maintain billing and collaborate with the Business Office on financial tracking, projections, and reporting
Run, audit, and submit monthly billing; maintain billing codes, fee schedules, and Clinical Activity Reports (CARs).
Collaborate with Clinical Directors on operational planning, resource allocation, and program growth
Continuously evaluate and improve operational processes, workflows, and administrative systems to enhance efficiency, accuracy, and service delivery; identify and implement appropriate technological solutions, automation tools, and best practices to streamline operations and support program growth
Serve as liaison with Facilities, Technology, Admissions, and Business Office teams
Manage TRG summer program operations and enrollment processes
Coordinate marketing, outreach, newsletters, and website updates
Additional duties outside this description may be assigned as necessary

Qualifications and Skills:
Associate’s or Bachelor’s degree required; Bachelor’s degree preferred
Knowledge of Microsoft Office, Google Workspace, and database management systems
Excellent interpersonal, written language, communication, and organizational skills
Resourceful, flexible, collaborative, service-oriented, and highly detail-oriented
Ability to drive process improvement initiatives, implement innovative technology solutions, and promote efficient, scalable operational practices across departments
Physical Demands: Ability to frequently travel between multiple school sites (if applicable) and navigate various areas of the school campus, including classrooms, playgrounds, and therapy rooms. Must be able to sit or stand for extended periods, operate standard office equipment, and occasionally lift and transport therapy materials, testing kits, and equipment weighing up to 20–25 lbs.
Work Environment: The daily work environment is characteristic of a school setting, where noise levels can shift quickly from quiet clinical spaces to busy, high-activity areas. The successful candidate must be comfortable working in a fast-paced atmosphere, managing frequent transitions throughout the day, and maintaining professional focus despite common classroom distractions. The employee is exposed to weather conditions prevalent at the time.
